PRESENTATIONS - GUIDANCE FOR USE OF THE HOS EQUIPMENT

35 mm Projector -

We have a Rolleivision twin MSC 535P, which takes standard straight 50 slide cassettes.

Twin lenses allow fast or slow dissolving time between slides according to the wish of the presenter.

Slide change is by cordless remote control with an integral laser pointer.

Focussing is automatic.

Digital projector -

We have a Canon XEED SX6. This is a high output, high definition projector with a native resolution of 1400 X 1050 pixels. The best best quality will be obtained if presentations use images etc at this resolution or higher.

HOS has a simple wireless remote control with laser pointer for use by presenters.

HOS Computer -

We have a Dell XPS M1530 laptop running Windows Vista Premium. Presentations can be downloaded from CDs, DVDs or USB drives. It would be preferable to load them well in advance so that they can be checked before the meeting.

Presentation Software -

Whatever presentation software you use, we recommend that you 'embed fonts' if the font that you want does not appear in the list below. This ensures ensures that all the fonts used in the presentation are included when your presentation is saved. In their absence, substitute fonts will be used which can destroy the formatting of the presentation.

Autorun CDs from programmes such as Pro Show Gold and Photo to Exe run without problems.

Microsoft PowerPoint 2007

To embed fonts, use the option: tools/options/save/'embed truetype fonts'.
When your presentation is complete, we recommend you use the option file/'package for cd..' which will copy all required files to a CD or memory stick folder. This includes any linked files and a copy of the viewer specific to the version of Powerpoint that you have used.
Video excerpts are stored in separate files, so please inform the projectionist if any are included.

General advice -

Each image should be resized to about 1400 x 1050 before the images are imported into PowerPoint or other programmes (it is not necessary to have a monitor and computer that can display 1400 x 1050). If you have software that can zoom into images you could include higher resolution images for those slides that you want to zoom into. Failing to resize images could result in the computer being unable to save the resulting file. Please run your presentation from the media before sending it to the projectionist.
Please put the files onto blank media and label the files with your name (plus another ref if you wish) PLEASE DO NOT LABEL THE FILES WITH "HOS" OR THE NAME OF THE VENUE.
PLEASE INFORM the projectionist if you have any video excerpts.
Please send presentations to the projectionist (currently Bill Temple) well before the meeting so that they can be loaded onto the computer and tested. If they are on read/rewrite CDs, DVDs or on memory sticks then they can be returned to the owners and reused.
If necessary Presentations can be downloaded from CDs, DVDs or USB drives either at the start of the meeting or at lunch time.
It is VERY embarrassing if the presentation that you give to the projectionist does not work.
As a guide a 100 slide presentation at the above resolution should occupy about 160Mb, or about 90Mc if you use only 1024 x 768 resolution.
